Our Administrative Assistant provides administrative support for the CFO teams and administrative departments, as directed by the CFO, including preparing confidential documents, typing correspondence, filing, and scheduling and delivering educational programs to schools and community organizations on a variety of topics.
Performs routine tasks using database, presentation, and spreadsheet software programs.
Essential Job Functions * Assists with ongoing tasks/projects for the Chief Financial Officer.
Assists Administrative staff by typing and proofreading documents, letters, correspondence, and contracts; preparing various reports, spreadsheets, presentations, and documents; opens and distributes incoming mail.
* Works with the Lenora based administrative staff to coordinate daily activities of the Lenora office.
Fills in as needed in the absence of any Lenora administrative staff member.
Works together with other staff members, accepts assignment of administrative tasks, and helps assess workloads and establish priorities to make recommendations for efficiency to the CFO.
* Handles travel arrangements and reservations, as needed.
* Assists with maintaining the company’s legal contract library.
Tracks Certificates of Liability Insurance expiration dates, following up on renewals, scanning newly initiated documents and filing for ease of retrieval, and ensuring appropriate staff/departments are notified when documents are added to the LCL.
* Coordinates various internal and external meetings for Nex-Tech.
* Assists with Lenora Training Center and meeting room scheduling, including, but not limited to, receiving calendar notifications when the room has beenrequested, and coordinating with the scheduler (or others) regarding room configuration, catering, and equipment usage/training needs.
* Assists in providing training on room technology, as needed.
As schedule allows, be available to employees or guests on the days the room is reserved to assist with questions/needs.
* Assists in preparing and delivering educational programs for schools and community organizations.
* Assists with Nex-Tech’s scholarship programs.
* Performs other miscellaneous duties, as assigned by management.
Engages in regular and periodic reviews with supervisor.
Accepts direction with a positive attitude.
Knowledge, Skills, and Abilities· Knowledge of Company policies, procedures, products, and services.
· Skill in phone etiquette, customer service, and customer relations.
· Knowledge of administrative procedures, practices, and trends.
· Skill in oral and written communication.
· Ability to read, analyze, and interpret computer reports and printouts.
· Skill in analytical thinking and problem solving.
· Ability to organize, prioritize, and handle multiple work assignments.
· Ability to complete work accurately under time constraints and deadlines.
· Ability to communicate with youth, customers, co-workers, and various business contacts in a courteous and professional manner.
· Ability to function effectively as a team player.
· Knowledge of general office practices and procedures.
· Skill in operating a personal computer using database, word processing, spreadsheet, and graphic presentation software programs, as well as using copy machines, facsimile machines, and phone systems.
· Skill in organizing activities and events.
· Knowledge of training methods and practices.
· Ability to give public presentations.
· Ability to work in a fast-paced environment and meet organizational deadlines.
· Ability to pay close attention to detail, structure, and punctuation.
· Ability to maintain a valid Kansas driver’s license.
· Ability to travel to multiple locations to present training.
· Ability to effectively present a variety of educational material.
